Answering service

In short

An answering service picks up the calls your business can't, usually after hours or when every line is busy, and takes a message or passes on urgent calls. Classic services use human operators; AI answering services use voice agents.

The traditional model is a call centre whose operators follow a script for your business: take the caller's name, number and reason, then email or text it to you. Useful, but the caller still waits for a callback, and a message is not a booked job.

An AI answering service can go further because it is connected to your systems. It answers questions from your own information, books the appointment while the caller is still on the line, and sends you a summary and a transcript instead of a scribbled note.

When comparing options, ask what happens after the call: who follows up, how fast, and where the details end up.

A worked example

A roofing company pays a human answering service around $1.50 a minute, and the average after-hours call takes four minutes. At 100 calls a month that is $600 for messages the owner still has to call back. An AI answering service on a flat monthly price answers the same calls, books inspections directly into the calendar and sends a summary of each — so the comparison is the price, plus the jobs that were booked rather than left as messages. (The per-minute price here is an example; check real quotes.)

When it is worth it, and when it isn't

Worth it: you lose callers to voicemail or to a slow callback. A human service may suit better if callers need real empathy at every step, such as a crisis line, or if your call volume is tiny.

Common questions

What is the difference between an answering service and a receptionist?

A receptionist usually works for one business and does more than answer calls; an answering service handles calls for many businesses, mostly when your own team cannot.

Do answering services work 24/7?

Most offer it. AI answering services are 24/7 by nature, because nothing changes at night.

Can I keep my phone number?

Yes. Calls are usually forwarded from your existing number, either all the time or only when nobody picks up.
